Banff Airporter® Terms & Conditions

These Terms & Conditions (“Terms”) apply to all bookings and travel with Banff Airporter® Inc. (“Banff Airporter”, “we”, “us”, “our”). By booking a seat, purchasing a ticket, communicating with us, or using our services (the “Services”), you agree to these Terms.

If you do not agree, do not book or use our Services.

1) Bookings, Payments, and Confirmation

1.1 Payment required

Payment is required at the time of booking to secure your seat.

1.2 Booking confirmation

A booking is considered confirmed only once a confirmation number has been issued. If you do not receive a confirmation number, please contact us to verify your reservation.

2) Changes, Transfers, and Modifications

2.1 Changes

We are happy to make changes to your booking. Changes are generally free of charge.

2.2 Transfers

Bookings are transferable.

2.3 Excessive modifications

Excessive changes or repeated modifications may result in a $10 administrative fee.

3) Refunds, No-Shows, and Cancellations

3.1 Refund eligibility

Unused portions of travel may qualify for a refund if you contact us at least 1 hour prior to your originally scheduled travel time.

3.2 No-shows (Banff/Canmore departures)

For bookings departing from Banff or Canmore, “no-shows” are charged a $25 reactivation fee if we are contacted on the day of travel. Otherwise, the booking is non-refundable.

3.3 Schedule changes and cancellations

Schedules are subject to change. Where possible, guests will be notified as soon as practicable.

4) Calgary International Airport Check-In

Clients departing on scheduled services from Calgary International Airport are asked to check in at the Banff Airporter® Desk located on the Main Arrivals Level, between exit doors 5 & 6 (inside the terminal).

5) Late Night Final Departure (22:30) – Special Rules

As 22:30 is our last departure of the night, the following rules apply:

  • If your flight information is provided and your flight arrives before 22:15, we will hold the shuttle no later than 22:45.
  • If your flight information is provided and your flight arrives after 22:15, the shuttle will depart at 22:30.
  • If your flight information is incorrect or not provided, the shuttle will depart at 22:30.

This policy is intended to balance on-time departures with reasonable flexibility. Please ensure your flight details are accurate so we can plan accordingly.

Important: The term “arrives” refers to when the aircraft arrives at the gate terminal, not when it lands on the runway. We may use FlightAware to monitor flight status. FlightAware is the final authority for determining flight arrival status for the purpose of this policy.

If you miss the 22:30 departure

If you miss the 22:30 departure, you have the following options:

Option 1: Take a taxi or private transfer to Banff/Canmore (availability and rates may vary).

  • Patagonia Chauffeur Service: 1-833-888-8861
    Banff Airporter® is not responsible for costs associated with outside services.

Option 2: Stay in Calgary and travel with us the next day (subject to availability).

If you miss the 22:30 departure and choose not to travel with us the following day, you must contact us within 48 hours to arrange a booking refund (where eligible).

6) Standby Travel

Travellers without reservations may be accommodated on a standby basis, subject to seat availability.

7) Pickups and Service Area (Banff Door-to-Door)

Banff Airporter® provides door-to-door pickups in Banff.

We do our best to service all locations within Banff. However, due to road conditions, closures, access restrictions, or operational constraints, we may not be able to pick up from or drop off at all locations.

Please be ready 10 minutes prior to your scheduled pickup time. You should expect pickup no later than 15 minutes after your scheduled pickup time.

8) Delays, Missed Flights, and Service Limitations

Banff Airporter® is not responsible for delays caused by weather, road hazards, traffic, or conditions beyond our control.
In the rare event of a missed flight or event due to a vehicle breakdown, compensation is limited to the cost of the Banff Airporter® ground transportation price for the affected travel segment.

9) Luggage, Damage, and Lost & Found

Guests are responsible for their luggage and personal items.

9.1 Luggage allowance

We operate similar to airlines: the number of bags permitted generally aligns with typical airline baggage limits. Please box bikes and skis and notify us in advance of oversized items (such as cellos or large instruments).

9.2 Damage and lost items

We are not responsible for damage to luggage or personal items during transfer.
Lost and found items are the responsibility of the guest to arrange pickup and/or delivery.

10) Pets

Pets are not permitted, except for service animals. (Must be accompanied by appropriate documentation/paperwork)

11) SMS Messaging (Texting Us)

You may text Banff Airporter® for information regarding our services.
By texting us, you agree to receive text messages related to booking inquiries and customer support communications. Message frequency may vary depending on your interactions with our services. Standard message and data rates may apply based on your mobile carrier plan.
You may opt out of receiving SMS messages at any time by replying “STOP” to any message. This will unsubscribe you from further communications.

12) Shuttle Tracking and Estimated Arrival Times (ETAs)

Banff Airporter® may provide shuttle tracking and estimated arrival time (“ETA”) information by email or text message link.

Tracking and ETAs are provided for convenience only. ETAs are estimates and may change due to traffic, weather, road conditions, operational constraints, and system availability.

Tracking may be delayed, intermittent, unavailable, or inaccurate. Banff Airporter® does not guarantee uninterrupted access to tracking services and tracking is not intended for safety-of-life or emergency use.

Tracking links should be treated as private. If a tracking link is shared, anyone with access to it may be able to view tracking and ETA information during the link’s active period. Misuse of tracking features may result in restricted access.

Banff Airporter® is not responsible for missed connections, expenses, or losses arising from reliance on tracking/ETA information.

13) Customer Conduct and Safety

By travelling with Banff Airporter®, you agree to follow staff instructions and general safety expectations.
We reserve the right to refuse service where required for safety, compliance, or operational reasons.

14) Changes to These Terms

We may update these Terms from time to time. The current version will be posted on our website with the updated “Last updated” date.
